The Institutional Portal is the controlled administrative channel for designated officers of registered institutions. Authenticated users may maintain a secure account session, replace an initial temporary password, submit defined institutional notices, and consult the resulting submission register. Every material authentication and submission event is recorded for audit.

Portal Service Scope

Service 01

Account Verification

Associates a controlled login ID with the institution, authority, registry reference, role, and account status.

Service 02

Material Change

Records formal notification of changes affecting identity, governance, scope, delivery, resources, continuity, or public information.

Service 03

Registry Correction

Creates a traceable request to assess an institution name, reference, status field, date, or other controlled registry detail.

Service 04

Returns & Enquiries

Provides controlled references for annual institutional returns and formal administrative enquiries.

Authorized Access Lifecycle

  1. Stage 1

    Nomination

    The institution designates an accountable officer through its recognized correspondence channel.

  2. Stage 2

    Validation

    Institution identity, authority record, reference number, and officer relationship are checked.

  3. Stage 3

    Provisioning

    A restricted login ID and temporary credential are issued outside the public website.

  4. Stage 4

    Controlled Use

    The officer changes the temporary password and uses the portal within the assigned role.

  5. Stage 5

    Review or Closure

    Access is reviewed when responsibility changes and is suspended or closed when no longer required.

Institutional Security & Record Duties

Account Holder Responsibilities

  • Keep the credential confidential and use it only for the assigned institutional function.
  • Use a unique password and change a temporary or suspected-compromised password immediately.
  • Sign out after administrative work, especially on shared or institution-managed devices.
  • Report a change in role, authority, institutional affiliation, or suspected unauthorized access.
  • Submit accurate, necessary, and appropriately approved institutional information.

Support & Escalation Standard

A support request should identify the institution, registry reference, responsible authority, designated officer, affected portal function, date and time of the event, and any portal submission reference. Passwords, complete session cookies, and unnecessary personal data must not be included in correspondence.
